Using Live Work Status to Update Customers in Real Time

The aim of the Live Work Status is to provide customers with:
  • Real-time status update of their vehicle in the garage.
  • Real-time status update when their vehicle is close to completion.
  • Real-time status update when authorisation is needed.
This feature tracks vehicle service through several states:
  • Vehicle Arrived
  • Waiting to be started
  • We are working on it (in progress/on hold)
  • We are carrying out final checks
  • We're finished (ready for collection)
Additional states appear when authorisation is needed from the linked Vehicle Inspection Estimate (VIE):
  • Awaiting your authorisation
  • We are working on it (after authorisation)



Live Work Status Setup

    In the top right corner, choose the search icon, enter GarageLink Setup, and select the related link.
    In Live Work Status Link Valid Hours field, enter how long (in hours) the status link should remain active after the Jobsheet has been posted or deleted.
    Now, switch to the Customer Notification page by searching Customer Notifications.
    Click New to create a new Customer Notification card.
    Enter the Code for the notification e.g. LIVE WORK STATUS, select Live Work Status Notification as the Type, enter the Description, and the Date Formula as 0D (sends on the same day).
    After that, enter the messages in the SMS and Email Text that you want to send to the customer for the notification. Choose the Field Tags and add them to the message. For example, for the Live Work Status link, use [LiveWorkStatusURL]. When you're done, enable the SMS and Email.
    When done with the setup, select Enabled to enable the notification.


Using Live Work Status in your Garage

    In the Jobsheet, you'll have two new actions in the menu bar under the Print/Send menu:
  • Preview Live Work Status - view exactly what the customer will see.
  • Publish Live Work Status - generate the link and send it via SMS and/or email.
    The live status changes are triggered by the change of Work Status Code in the Jobsheet, and the vehicle has to be on site.
    If the job requires authorisation, the live status will automatically insert the Awaiting Your Authorisation step.
    When you select Publish Live Work Status, the customer is contacted using the contact details (mobile/email) from the Jobsheet.
