Customer Digital Signature Capture

This feature directly captures the customer's signature on the key documents within a Jobsheet. It improves communication between the garage and the customer and provides proof of customer consent. Once signed, the signature is saved and included in the document for future reference.
    To enable the Sign menu in the Jobsheet, in the top right corner, select the Search icon, and enter Service Mgt. Setup GH.
    In the General FastTab, locate and enable the Document Signatures Enabled slider.
    Once enabled, the Sign menu will appear in the Jobsheet. The following actions are available to sign the documents digitally:
  • Sign Schedule of Work: Captures the customer's signature to authorise the planned scope of work before it begins.
  • Sign Job Card: Captures the customer's signature to acknowledge the completed services on the vehicle.
  • Sign Invoice: Captures the customer's signature to accept the work done and agree to the final invoice total.
  • Sign Proforma Invoice: Captures the customer's signature to approve the estimated costs before the final invoice is raised.
Note: These actions are also available in the technician's version of the Jobsheet for their devices.
    When one of the above options is selected, the Preview and Sign window opens, displaying the document details.
    The customer signs in the Sign here box. You can also edit the Name field (for example, “Signed by David Hills”).
    There are also navigation controls available. You can Zoom in/out and use the Next or Previous page (if several pages are available).
    Once the signature is captured, click OK. A PDF of the signed document will be downloaded automatically, which you can then print or save.
    The signed copy is also archived in the system. To access the archived versions, select Actions, Functions, and then Archived Versions.
    A list will appear showing all previously signed Job Cards and Schedules of Work for easy retrieval.
    If a signature already exists and you select the Sign action again, the system prompts, 'There is a version of the Signed Job Card (or the document signed) already. Do you want to sign a new one? If you select:
  • Yes → It opens the signature window to capture a new signature, and a new archived version is created.
  • No → It opens the existing signed documents list in the Archived Versions page.
