How to Use Item Lookup and Tyre Catalogue Lookup Feature

Item Lookup

The Item Lookup feature helps you quickly find and add specific items or labour to a document. You can search in three main ways: by keyword, by viewing the full list, or by barcode.

Searching by Keyword or Number

In the document line, select the Type (either Item or Labour).
In the No. field, type a keyword or number (for example, ‘MOT’ or ‘BrakePad’).
Press the Tab or Enter key on your keyboard.
A window will pop up showing all matching results. Select the one you need, and click OK to add to the document.

Viewing the Full List

If you're unsure of the exact name or want to browse all available options, you can open the complete list.
In the document line, choose the Type (Item or Labour).
Instead of typing, click the AssistEdit Button (...) inside the No. field.
This will open a new window displaying the full list of all items or labour in the system. Click OK after selecting the item to add.

Searching by Barcode

If you use barcodes, you can search for items directly by scanning or typing the barcode number.
This feature requires the Extended Number Lookup to be enabled in the Service Mgt. Setup GH.
The barcode number must be saved in the Barcode field on the Item Card.
Go to the No. field on the document line.
Type or scan the item's barcode directly into this field.
A pop-up will appear, allowing you to confirm and select the item linked to that barcode. Click OK to add it to the document.

Tyre Catalogue Lookup

The Tyre Catalogue lookup allows you to find available tyres from your local stock and integrated supplier catalogues. It is available within the Role Centre, Jobsheet, Estimate, and the VI Estimate. To access the Tyre Catalogue:
From the Role Centre, select Tyre Catalogue.
From the Service Documents (Jobsheet, Estimate or VI Estimate), select Parts followed by Tyre Catalogue.
Enter the tyre size in the Search Text field, for example, 2055516, and the number of tyres you require in the Quantity field. Click OK.
This opens the list of tyres available and their specifications. Use the filters at the top to narrow your search.
To create a Jobsheet for the tyre you have searched for, select the tyre and click on the Create Jobsheet action from the actions bar.
In the Create Jobsheet window that appears, choose the correct Vehicle Registration No. and Customer. Next, you can change the number of tyres for the order by editing the Quantity to Order field. For reference, check the Vendor Item No. and the Available Quantity to see details for the selected tyre.
    Click OK.
This creates a new Jobsheet. Click Yes to open it.
Other places where the tyre catalogue can be accessed in the Service Documents (Jobsheet, Estimate or VI Estimate) are:
  • Group Items
  • From the Group Items sub-page menu bar, select Parts followed by Tyre Catalogue.
  • Lines
  • From the Lines sub-page menu bar, select Line followed by Tyre Lookup. Ensure that an Item line is selected.
