A Jobsheet passes through several hands in a single morning. A technician clocks on, a Service Advisor takes a customer call, a Workshop Manager reviews the lines, and someone in accounts checks a price. Business Central lets all of them open the same Jobsheet at the same time, and that's by design — but the user who saves last quietly overwrites whatever everyone else has just added.
The Document User Presence feature gives you the missing warning. When you open a Jobsheet that someone else already has open, Garage Hive tells you who it is and how recently they were active, so you can wait, speak to them, or carry on knowing what you're risking.
Note: The Document User Presence feature doesn’t work in garages where user accounts are shared. It only works when each user has their own individual account.
Common Scenarios
Two people pricing the same job. A Service Advisor opens a Jobsheet to add parts. The Workshop Manager opens the same Jobsheet a minute later to add labour. Without a warning, whoever saves second wipes the other's lines. With Document User Presence, the second user sees the first user's name in the pop-up and either waits or walks over to coordinate.
Manager reviewing an active job. A manager user opens a Jobsheet to check profitability. The Service Advisor is still actively editing it. The manager user sees the warning, opens Active Users to see when the Service Advisor user was last active, and decides whether to wait or just view without saving.
End-of-day cleanup. Several team members run through open Jobsheets at the end of the day to tidy them up before posting.
A parts person adding parts and another doing the write-up at the same time. One team member opens a Jobsheet to add parts — entering item numbers, quantities, and prices. Another team member opens the same Jobsheet to type up the work description and customer comments.
Enabling Document User Presence
This feature is released as an opt-in. To turn it on:
In the top-right corner, choose the search icon, enter Service Mgt. Setup GH, and select the related link.

What You See When Another User Is in the Jobsheet
Open a Jobsheet that someone else is already editing. A pop-up appears listing the names of any other users in the document.

Select OK to dismiss the pop-up. A banner stays at the top of the Jobsheet for as long as another user is in it.

Select View Active Users in the banner to see who is in the Jobsheet. The Active Users page lists the User Full Name and the Last Heartbeat At time.
