How to Contact Customers in Bulk About Upcoming Visits

There may be times when you need to reach out to a group of customers to confirm or remind them of their upcoming visit dates and times. Garage Hive makes it easy to filter the relevant jobsheets and send a bulk SMS to all affected customers at once.

Filtering Jobsheets for Upcoming Visits

    From the Role Centre, select Jobsheets to open the jobsheet list.
    Click the Filter Pane icon to display the filter options.
    Add the following filters to narrow down the jobsheets you want to contact customers about:
  • Set the Filter List by 'From Online Booking' and select Yes to show only bookings made through online booking.
  • Add another Filter List by 'Document Date' to specify the date range when the bookings were created. For example, enter ..02/04/2026 to display bookings created up to 2nd April 2026.
  • Add another Filter List by 'Booking Date' to select the upcoming date range you want to include. For example, enter '08/04/2026..' to show bookings from 8th April 2026 onwards.
    The list will now display only the jobsheets that match your filters. Review the filtered results to ensure they are the correct customers you wish to contact.

Sending a Bulk SMS

    Select all the filtered jobsheets by pressing Ctrl+A, or manually select the specific jobsheets you want to include.
    Go to the menu bar and select Actions, then choose Send Bulk SMS.
    In the Message Per field on the pop-up page, select Per Jobsheet, then click Next.
    On the message page, type your message in the Message Text field. You can write a message such as:
Dear [Customer Name], we would like to confirm your upcoming visit on [Booking Date] at [Booking Time]. Please contact us if you need to make any changes. Thank you.
    To personalise your message with the customer's actual details, click Show Field Tags at the bottom of the page. You can use field tags such as:
    Customer Name — inserts the customer's name.
    Booking Date — inserts the scheduled visit date.
    Booking Time — inserts the scheduled visit time.
    Vehicle Registration No. — inserts the customer's vehicle registration number.
    Once you have composed your message and included the relevant field tags, click Next to preview the message.
    On the preview page, select a Vehicle Registration No. and Customer No. to preview the message. When you are satisfied with the message, click Send.
Note: If sending via SMS, the standard message length is 160 characters. Using special characters reduces this limit to 70 characters.
