Vehicle Mileage Settings

Garage Hive has settings that give you control over how vehicle mileage is managed in the system.

Check Mileage in Service Document

This setting controls how the system validates mileage when you post a service document or finish a job.
In the top right corner, choose the search icon and enter Service Mgt. Setup GH, and select the related link.
2. Under the General FastTab, in the Check Mileage in Service Document field, select either of the following:
Option
Functionality
Best For
Skip
No validation is performed. You can post documents with zero or empty mileage without any notification.
Garages that do not track mileage.
Show Warning
Displays a warning message if mileage is zero or empty. You can choose to proceed or go back to enter the mileage.
Garages that want to encourage mileage entry without blocking the workflow. This is the recommended setting for most businesses.
Show Error
Prevents posting if mileage is zero or empty. You must enter a valid mileage value to continue.
Garages with strict compliance needs where mileage capture is mandatory.
Key Validation Checks:
  • Zero Mileage: Based on the setting above, the system checks if the mileage field is empty or zero.
  • Previous Visit Comparison: The system always checks that the new mileage is not less than the mileage from the vehicle's previous visit. If it is, a warning appears: "Mileage cannot be less than in the previous visit."
  • Quick Fix Action: When set to Show Error, the error message includes a helpful "Fill Mileage in Service Document" action, allowing you to input the correct value directly from the posting dialogue.

Default Mileage Units

This setting determines the unit of measurement displayed next to mileage fields across the system.
In the top right corner, choose the search icon, and enter Service Mgt. Setup GH, and select the related link.
Under the General FastTab, in the Default Mileage Units field, you will have the follwing options:
  • (Blank): The field label will simply be "Mileage."
  • km: The field label will be "Mileage (km)."
  • miles: The field label will be "Mileage (miles)."
The system automatically displays the mileage label as follows.
Note: This setting only changes the display label; it does not convert existing mileage values. Ensure your team consistently uses the chosen unit.
