Grouping document lines is a feature available in the estimates, vehicle inspection estimates and jobsheets; this feature enables you to group the document lines under the same job or category. In this article, we will look at the various ways of grouping the lines.
The grouping feature is found above the sub-page in a document, labelled as . To create a group, follow these steps:
In the column, enter the name of the group.
Click on the cell under along the line where you have created a group.
From the page, select the lines you wish to add to the group (you’ll find the group name column with checkboxes at the end of the table), then close the window.
The column will display the number of lines that have been added to the group.
You can also add document lines to a group directly from the section:
Select the cell in the column.
Choose the group to which you want to add the lines.
In the sub-page, select the lines you want to group.
Select from the menu bar in the sub-page, and choose the option.
All of the selected lines are grouped together, with the group name being the description of the top selected line. You can change the group name from the section.
While working on a Vehicle Inspection, you may identify vehicle issues requiring urgent attention. From these issues, you can create groups to enable you to add items and labour.
To create a group from the Checklist attention lines, first ensure there are Checklist lines and identify the ‘requires attention’ lines. Then, from the Checklist, select followed by . In the pop-up, confirm to .
Open the VIE and carry out the following steps from the VIE:
Select from the menu bar, then choose .
This action will take the lines marked as “requires attention” and automatically create groups named after the Checklist line descriptions.
After the groups are created, add the necessary items and labour to the document lines, and match them with the pre-created groups.
To automatically group MOT attention lines on a jobsheet or Vehicle Inspection Estimate (VIE), you must first map to Service Action Categories:
In the top right corner, choose the search icon, enter , and select the related link.
On this page, populate the column with your defect categories (e.g., DANGEROUS, MAJOR, FAIL).
For each defect type, assign a corresponding . For example, you can set DANGEROUS and MAJOR defects to a REQUIRED category.
Open the VIE or Jobsheet where you want to add the MOT items. From the menu bar, select , then .
Choose the relevant MOT test and click .
The Group Items will be created, and the system will automatically match defect types to appropriate service action categories.
To create a group from a service package:
Choose the desired and click .
The selected service package will be automatically added as a group.
To preview or print the document with the group names being the document headers:
Ensure that the you select from the FastTab.
Select from the menu bar, then .
The other option is to change the setting, so that all documents in future will have the as default. Search for from the search icon, at the top-right corner.
In the FastTab, select option in the Field. Press to exit the page.
