How to Export Your Data from Garage Hive

Your data belongs to you, and you can take a copy of it whenever you need one. Because Garage Hive is built on Microsoft Dynamics 365 Business Central, you are not locked into a fixed export format. Almost anything you can see on a list page can be sent straight to Excel, without contacting Support.
The usual route is four steps:
    Open the list that holds the data you want.
    Apply filters so the list shows only the records you need.
    Personalise the page to add any fields that are not shown.
    Click Open in Excel .
The rest of this article covers each step, and an advanced option for when you need several tables at once.

Exporting a List to Excel

    Open the list you want to export. For example, click Service in the Role Centre and select Customers .
    In the top-right corner of the page, click the share icon and select Open in Excel .
    Your browser prompts you to open or save the file. The workbook contains the columns that were on screen, for the records that were in view.
    The same steps work on every List page in Garage Hive, including:
  • Customers
  • Vehicles
  • Vendors
  • Items
  • Jobsheets
  • Service history
  • Any other Garage Hive list

Filtering Before You Export

The export includes whatever the list is currently showing, so filter first if you only want part of it. You might want customers created since a certain date, vehicles due for an MOT next month, or items from one supplier. See  How to Filter Lists  for the different ways to narrow a list down.

Personalising the Page Before You Export

The export is built from the fields on the page, so a column that is not displayed will not appear in Excel. If you need extra information, add it with Personalise before you export.
    Click the Settings icon in the top-right corner of the page and select Personalise . The Personalising bar appears at the top.
    Click + Field . The available hidden fields are listed down the right-hand side of the screen.
    Drag a field into the position you want it. To remove a column, click it and select Hide .
    Click Done when you have finished.
    Now export the list as described above.
Note: Personalisation is saved per user, so the layout you set up stays in place the next time you open the page. It does not change what anyone else sees.

If You Cannot See Open in Excel

Not every user account has the export action available. If Open in Excel is missing from a page, speak to your System Administrator. At least one user in your system will have access, and they can either run the export for you or arrange for the permission to be given to your account.
To find out who your System Administrator is:
    In the top-right corner, choose the search icon, enter User Management and select the related link.
    Look down the list for the user with a tick in the System Administrator column.

Advanced: Exporting with a Configuration Package

Open in Excel covers most requests. A Configuration Package is worth using when you want a fuller, database-style export, particularly when the data sits across several underlying tables rather than on a single page.
Everything in Garage Hive is stored in tables, one for customers, one for vehicles, one for stock, and so on. A Configuration Package is a saved list of the tables you want, so you can pull several of them into one Excel workbook in a single go instead of exporting each page separately.
To create one:
    In the top-right corner, choose the search icon, enter Configuration Packages and select the related link.
    Click New , then fill in the Code and the Package Name , for example DATA-EXPORT and Customer and vehicle data export.
    On the Tables FastTab, choose New Line and enter the Table ID for each table you want to include, using the list below. The Table Name fills in automatically. You can also use Get Tables... on the menu bar to pick the tables from a list.
    To export only certain columns from a table, select the table line, choose Table from the Tables menu and then Fields , and untick the ones you do not need. Leave this alone to export every field.
    Choose Export to Excel from the menu bar. The workbook downloads with one worksheet per table.
    The tables most often used for a Garage Hive data export are:

Note: A Configuration Package exports the raw table data, so the column headings match the database field names rather than the captions you see on the page. If you only need what is on one page, Open in Excel is the quicker option.
