Create Bookings by Selecting Time Slots

Garage Hive allows you to efficiently schedule customer appointments by allocating available resource time slots directly from the Service Advisor Role Centre or an existing Jobsheet.

Creating Bookings from the Role Centre

    From the Service Advisor Role Centre, select Create Booking (Beta).
    Enter the Vehicle Registration No. and Mileage. The system will automatically populate the vehicle details. Click Next.
    Select or create a customer record. Confirm the NPS score and the customer ranking, then click Next.
    Select the contact person and enter the contact details. Click Next.
    Select the Service Type from the dropdown menu. If a service package is already linked to the service type, the Service Line Groups and Service Lines fields will be populated accordingly.
    Click on the number in the Service Line Groups or Service Lines to add or adjust the lines.
    On the page that opens, you can add lines directly in the Lines subpage or select Service Package from the menu bar to add a service package. Close the page when done.
    Click Next on the previous page you were on. On the following page, click the date field to open the date picker and select the booking date. Click OK.
  • Click on the date.
  • Select the date and click Ok.
    The system displays drop-off times and indicates availability. Select a time slot by clicking on it; the slot will be marked as Selected. Click Allocate to complete the process.
Note: For jobs requiring multiple resource groups, the system will automatically show coordinated slots that work for all required resources.
    The system will create a new jobsheet, generate the resource allocation entries, and confirm the booking. To send a booking confirmation to the customer, click Yes; to skip sending the confirmation, click No.

Creating Bookings from the Jobsheet

    Open the relevant Jobsheet, select Home from the menu bar and choose Create Allocation (Beta).
    In the time slot selection page, select the desired time slot. By default, it shows today's date.
    To choose a different day, click the date field to open the date picker.
    Select your desired date, click OK, and choose an available time slot from the list.
    A confirmation pop-up will appear: 'Time slots have been successfully booked.'
    You will be prompted to send a booking confirmation message to the customer. Select Yes or No.
    The booking for the selected date and time will now appear in the schedule. To view it, select Home followed by Schedule from the menu bar.
Note: For jobs with multiple resource groups, the system will create separate bookings for each resource group. It calculates the total time required for the tasks within each group and places them on the schedule accordingly (e.g., a 'Service' booking from 8:00 AM—12:30 PM and an 'MOT' booking from 1:00 PM—2:00 PM for the same vehicle).

Labour Without an Assigned Resource Group

If a labour line on the jobsheet is not yet assigned to a resource group, the system will prompt you to assign one.
    Open the Jobsheet and click Create Allocation.
    A message will appear: 'There are labour lines not assigned to resource groups. Do you want to assign labours to resources groups in order to select time slots?' Click Yes.
    A window will appear, listing the unassigned labour items. Use the dropdown to select the correct Resource Group Code for each item. Click Close.
    The system will now proceed to the standard Time Slot Selection window, allowing you to complete the booking.

Assigning Resource Groups to Labour Cards

Assign a default Resource Group directly to a Labour Card to improve efficiency and ensure consistency.
    Select Catalogues, followed by Labours from the Role Centre.
    open the desired Labour Card and select Resource Groups action in the menu bar.
    In this window, you can assign a Resource Group Code.
  • To make the assignment apply to all locations, leave the Location Code blank.
  • To make the assignment location-specific, select a Location Code.
    Once set, any jobsheet that uses this labour item will automatically have the correct resource group associated with it.
