Allocation Booking from a Jobsheet

This feature streamlines the workshop booking process by allowing users to create allocations for jobs directly from the Jobsheet. This eliminates the need to switch to the Schedule view to create a booking.

Booking a Job with a Resource Group

This process is for jobsheets where all labour lines are assigned to resource groups.
    Open the Jobsheet you wish to book, select Home from the menu bar and click the Create Allocation action.
    A Time Slot Selection window will appear. This window displays available slots based on the availability of the Resource Group assigned to the labour on the jobsheet. By default, it shows today's date.
    To choose a different day, click the date field to open a calendar.
    Select your desired date, click OK, and choose an available time slot from the list.
    A confirmation pop-up will appear: 'Time slots have been successfully booked.'
    You will be prompted to send a booking confirmation message to the customer. Select Yes or No.
    The booking for the selected date and time will now appear in the schedule. To view it, select Home followed by Schedule from the menu bar.
Note: For jobs with multiple resource groups, the system will create separate bookings for each resource group. It calculates the total time required for the tasks within each group and places them on the schedule accordingly (e.g., a 'Service' booking from 8:00 AM—12:30 PM and an 'MOT' booking from 1:00 PM—2:00 PM for the same vehicle).

Labour Without an Assigned Resource Group

If a labour line on the jobsheet is not yet assigned to a resource group, the system will prompt you to assign one.
    Open the Jobsheet and click Create Allocation.
    A message will appear: 'There are labour lines not assigned to resource groups. Do you want to assign labours to resources groups in order to select time slots?' Click Yes.
    A window will appear, listing the unassigned labour items. Use the dropdown to select the correct Resource Group Code for each item. Click Close.
    The system will now proceed to the standard Time Slot Selection window, allowing you to complete the booking.

Assigning Resource Groups to Labour Cards

Assign a default Resource Group directly to a Labour Card to improve efficiency and ensure consistency.
    Select Catalogues, followed by Labours from the Role Centre.
    open the desired Labour Card and select Resource Groups action in the menu bar.
    In this window, you can assign a Resource Group Code.
  • To make the assignment apply to all locations, leave the Location Code blank.
  • To make the assignment location-specific, select a Location Code.
    Once set, any jobsheet that uses this labour item will automatically have the correct resource group associated with it.
