How to Create Checklists

Checklists allow you to create an inspection sheet/checklist for vehicle diagnosis, service, troubleshooting, and so on. A vehicle inspection is an example of a checklist.

Structure of a Checklist

Before you begin, it's important to understand the three-part hierarchy of a checklist:
    Checklist Template: This is the master document or container for the entire inspection (e.g., "Full Service Inspection," "Pre-MOT Check").
    Item Groups: These are the sections or categories within the template that organise the tasks (e.g., "Tyres," "Brakes," "Engine Bay").
    Items: These are the individual questions or specific checks within each group (e.g., "Check tyre tread depth," "Inspect brake pads").
Here’s an example of how a checklist looks when it’s fully set up:

Checklist Templates

First, you need to create the main template that will hold your inspection sections and questions.
    Use the search icon to find and open the Checklist Templates page.
    Select New from the menu bar to create a new Checklist Template.
    The following is what you can set up on the Checklist Templates page:
  • Code - To identify the template in the system.
  • Description - To describe the template.
  • Type - It can be either Vehicle Inspection or Quality Control.
  • Tech Signature Prompt checkbox - When enabled, it prompts the technician to to sign off the checklist when done.
  • Approver Signature Prompt checkbox—When enabled, this checkbox prompts the person confirming the checklist to sign off on it.
  • Show Faults and Actions checkbox - When enabled, it shows the Faults and Actions fasttab in the checklist.
  • Printout Type - It can be either Standard or Two Columns.

Note: The checklist template description will be the description of the checklist that you select from when deciding which checklist to complete as a technician.
    Each Checklist Template must have at least one Checklist Template Item Group.

Checklist Template Item Groups

Next, you need to add sections to your template. Item Groups can be reused across different templates; for example, a 'Tyre Check' group can be used in both a full and an interim service checklist.
    With your newly created Checklist Template open, select Linked Item Groups from the menu bar.
    From the Checklist Template Item Groups page, click on the Group Code column, and choose Select from full list.
    A new window will appear. From here, you can either select a pre-existing group or create a new one by clicking New.
    To create a new group, simply provide a unique Code and a clear Description.

Note: Checklist Template Item Groups can be linked to multiple Checklist Templates; for example, a Tyre Checklist Item Group could belong in both the Full Service Checklist Template and the Interim Service Checklist Template.

Checklist Items

Now, you will populate your Item Groups with the specific questions and checks. For example:
    From the Checklist Template Item Groups page, select the Group you want to add items to and click on the Item Group Lines number.
    In the Checklist Items page, select New for each question or check (ensure Edit List is selected). A quick way to do this is by selecting New Line From Template (ensure Edit List is selected) from the menu bar, which provides pre-formatted options like:
  • Checkbox
  • Radio Buttons: B.G.A.R (Blue, Green, Amber, Red)
  • Textbox
    The following is what needs to be setup in the Checklist Items page:
  • No. - The line number, which determines the order of the questions.
  • Description - The question or instruction for the technician
  • Item Type:
  • Line: A non-interactive title or heading.
  • Control: An interactive field for the technician to enter a response.
  • Control Type - If the Item Type is Control, select the input method:
  • Radio Button
  • Textbox-Small & Textbox-Large
  • Checkbox
  • Default Value - Pre-select an option, such as a specific radio button.
  • Attention if Has Value Tick this box if any entry on this line should flag the checklist for an advisor's attention.
    The Checklist Template is now ready to use. Create a new Checklist and select the Checklist Template you have created as the Template Code.

Set Up to Create a Checklist Automatically

Checklists can be set to be created automatically in response to a specific system trigger, as follows:
    In the top-right corner, choose the search icon, enter Checklist Template Selection, and select the related link.
    In the Trigger column, choose either On Jobsheet Creation, which means the Checklist will be created when a new Jobsheet is created, or On Allocation Completion, which means the Checklist will be created when an allocation is marked as complete.
    Then, in the other columns, define the criteria for creating the Checklist. Select the Customer Category Code to create a checklist for if the customer falls into this category.
    Select the Service Type that the document has for the Checklist to be created, followed by the Checklist Template Code that the Checklist created will have.
    This now allows you to automatically create Checklists based on your specified criteria.
